How to import products
Devinstock simplifies the process of importing new or existing products into your workspace. You can navigate to Stock -> Product and click on the 'Import' button. If you have a curated Excel or CSV file containing your products, you'll be able to import up to 2000 products per operation based on your plan.
Importing products from various sources into Devinstock and consolidating them into one database will enable more efficient inventory tracking. This feature will empower your operations, sales, and marketing teams to effectively drive business growth.
Migrate your products into Devinstock
If you are considering migrating your list of products from an existing system (Zoho, Odoo, Erpnext .. ) to Devinstock, the process is uncomplicated. You can proceed by following these steps:
- Export your list of accounts from your current system into a CSV or Excel file.
- Thoroughly review the exported file to verify that it includes all essential fields, such as product, reference, designation, type, group, and any other pertinent information.
- If you have an existing inventory, retrieve each product with the initial quantity for migration.
Import your products into Devinstock
Proceed to the Stock module in Devinstock and locate the "Import" button. Subsequently, select the appropriate file format (CSV or Excel) for import.
Let's demonstrate how to import some of our existing products. You should have already prepared a CSV file. Now, navigate to the location of the CSV file on your desktop and select it.
If the batch file is large (almost 2000 entries), wait for it to load on your client browser.
The data to be imported are:
- Reference: Product reference unique code. Required
- Product Name: Product name you use. Required
- Designation: Product designation or short description. Required
- Quantity: The initial quantity to be imported. If null, it will be set to 0.
- Group: The product group slug to which the product belongs. If it already exists, it will be attached; if not, it will be created.
- All the fields with (*) are required
- Each importation can be up to 2000 lines.
Now Let's import some of our existing products. We have already prepared the CSV file. Now, let's navigate to the location of the CSV file on your desktop and select it.
Once selected, please follow the instructions to map the fields from your CSV file to the corresponding fields in Devinstock.
- You are able to import up to 2000 items per operation. If you are dealing with a large item of products, you can import them in batches. For example:
20000 products
1 -> 2000 (batch 1), 2001 -> 4000 (batch 2), and so forth.
- You have the ability to drag columns from your products batch to map the correct corresponding field in Devinstock.
Validate the importation
It is crucial to validate the data as the saving process is irreversible. By validating the data meticulously, you can enhance the overall quality of the products being saved and minimize any risk of encountering issues later on.
Therefore, please take the time to validate !
The form table already support validators for the inputs:
- If the product is trackable and the quantity is null, the initial quantity will be set to 0. Otherwise, a new stock entry will be created.
- A group will be created if it does not exist; otherwise, the product will be attached to a group with the same name.
Ex:
Validate product reference unicity if duplicated.
You can also validate the file format if the required data is not present, you'll get a validation message in red.
Save your products
Once the list of products has been prepared and validated, you may proceed to click on the "Save" button and await the importation of the products, as well as the creation of groups and initial stock inventory movements.
Groups
Ensure that the new product groups are saved upon import and correctly linked to the respective products. To do so, access the Stock module and select 'Groups' to verify the creation of the groups.
Stock Movements
Make sure to validate that the new stock movements inventory are created as well. By default the products quantity will be moved to the default warehouse.
